This role drives medical excellence and operational efficiency by managing critical workflows and enabling cross-functional alignment.
**Responsibilities**
+ Work with the medical leadership team and global teams to implement medical metrics, processes and learning initiatives, incorporating AI and digital tools to boost efficiency and impact.
+ Ownership of ordering process for Medical Need Programs & Compassionate Use: ensure correct request handling & processing (quality & regulatory requirements, product supply), ensure clear communication with external stakeholders on required administration and status of the request, ensure accurate internal tracking & documentation in line with regulatory requirements.
+ Drive Grants & Donations process: manages requests, supervises due diligence process by internal stakeholders, organizes G&D review committee, communicates decisions to internal & external stakeholders, supervises administration in line with legal & compliance requirements, tracks milestones & ensures reporting of progress by external stakeholders.
+ Provide admin and logistics support for Medical Events with external focus, e.g. congresses, off-site/teambuilding activities, cross-country meetings. Manage vendor onboarding, and contract setup and FU.
+ Drive continuous process improvement initiatives across medical affairs team.
+ Ensure operational excellence in medical affairs team: coordinate the onboarding of new hires and manage distribution lists, organizational charts, yearly medical journal subscriptions, external memberships and SharePoint updates.
+ Manage invoices, PO's, accruals, DOE decks and budget updates
+ Supervise activities (eg POs, contracts, C3 records with capability center) to ensure compliance with legal and procedural requirements, and audit-readiness at all times
+ Function as back-up for peers in periods of absence, e.g.: FU on sample requests, POC for external medication information vendor team, reception phone coverage through rotation
**Qualifications & requirements**

Vos missions principales comprendront :

Als projectportfoliobeheerder, de vergaderingen van de Business Steering Group van de dienst en de instelling voorbereiden, organiseren en opvolgen, en de nodige rapporten opstellen. De problemen escaleren indien nodig.
Als PMO voor je dienst, het projectbeheer opzetten en opvolgen. Dit omvat de coaching van de projectmanagers en sponsors van de projecten/programma's bij de voorbereiding, uitvoering en afsluiting van hun projecten en bij het gebruik van de toepasselijke methodologie.
De implementatie en het gebruik van de project- en procesbeheertools ondersteunen.
Zorgen voor de toepassing, het correcte gebruik en de continue verbetering van de gehanteerde methodologieën en tools voor projectbeheer. De interne gebruikers ondersteunen, met name op het gebied van opleiding en informatie.
In samenwerking met de PMO's van andere diensten, een geïntegreerde aanpak opzetten voor projectbeheer en projectprioritering.
De uitwisseling tussen diensten bevorderen:
Zorgen voor de coördinatie en opvolging van het Business Process Management op dienstniveau. Meer concreet: de procesgegevens up-to-date houden, de behoeften op het vlak van BPM identificeren en de procesmanagers begeleiden bij het uitwerken van analyses, het identificeren en uitvoeren van mogelijke optimalisaties en in het gebruik van de beheertoepassing.
Indicatoren en KPI's definiëren en leveren voor de dashboards bestemd voor het directiecomité en de medewerkers begeleiden bij het bepalen van prestatie-indicatoren.
Als contactpersoon optreden voor de activiteiten in verband met de Enterprise Architecture om informatie te verstrekken, analyses uit te voeren, enz.
Informatie en analyses kunnen verstrekken om de besluitvorming van het management te vergemakkelijken en ondersteunen.
Uw profiel
Je hebt een bachelordiploma of masterdiploma en minstens 5 jaar ervaring in de implementatie van IT-tools en -oplossingen en in de sturing van transversale projecten voor strategische ondersteuning.
Je bent, bij voorkeur, vertrouwd met methodologieën zoals PMBOK, Prince2, Agile, MSP. en hebt ervaring met procesoptimalisatie (BPMN, Lean, Six Sigma).
Kennis van Enterprise Architecture, IT governance (ITIL, COBIT), data governance en datakwaliteit zijn een pluspunt.

The Associate Director within Drug Development will oversee high-level plans and progress for asset development, from pre-clinical stages to commercial launch. **A day in the Life:**
_Project Lead responsibilities:_
+ Serves as the primary contact between the sponsor and the organization at the project level.
+ On projects where the scope requires, ensures clear delineation in responsibilities and communication pathways for secondary project leads (such as lead in a specific region, lead for a specific vendor(s) or subset of delivery).
+ Drives and owns the overall delivery of the cross-functional project (time, cost, quality).
+ Ensures financial stewardship at a project level by demonstrating an intimate understanding of the contract, resource alignment to budget, management of Out of Scope activity, drive the Con Mod process/negotiations and team execution to timelines.

+ Proven ability to mediate conflict and manage change.
+ Advanced project management skills and experience with MS Project.
