Role Description
We are looking for a highly organised and experienced Project Site Administrator to support our on-site operations for a high-security data centre construction project in Mons, Belgium. You will be responsible for coordinating essential administrative and logistical functions to ensure efficient daily site operations. This includes supporting our site teams, liaising with subcontractors, and ensuring compliance with project protocols, timelines, and documentation standards.
Key Responsibilities
- Serve as the primary administrative support on-site, working closely with the construction management team, site engineers, safety personnel, and subcontractors
- Provide day-to-day administrative support to site management, engineers, subcontractors, and suppliers
- Coordinate site access, security clearances, and onboarding of subcontractors and visitors in accordance with project protocols
- Manage document control, including tracking of permits, drawings, safety documentation, daily reports, and project records, ensuring version control and audit readiness
- Support procurement and logistics coordination by monitoring material deliveries, maintaining PO and delivery trackers, and ensuring timely reporting of discrepancies or delays
- Assist in the preparation of site progress reports, meeting agendas, and minutes; maintain clear and well-organised filing systems (digital and physical)
- Act as a liaison between the site and back-office functions such as HR, finance, procurement, and compliance
- Monitor and maintain supplies inventory, stationery, PPE, and administrative equipment on site
- Ensure all administrative activities align with project safety, quality, and security requirements
Requirements
- Minimum 5 years of experience in a site-based administrative role within the construction or engineering sector; experience on data centre, pharmaceutical, or infrastructure projects is highly desirable
- Strong understanding of construction site workflows, documentation processes, and subcontractor coordination
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and comfortable using document control platforms (e.g., SharePoint, Aconex, or Procore)
- Experience with PO, invoice tracking, and delivery management processes
- Fluent in English and French; Dutch is a strong asset
- Strong attention to detail, excellent communication skills, and the ability to handle sensitive information with discretion
- Must be available to work on-site full-time in Mons and possess the ability to operate within a high-security environment
- Proactive, adaptable, and confident working independently in a fast-paced, dynamic project setting

Strategic Development

- Collaborate with sales and marketing to align pipeline growth with operational capacity.
- Proven experience (5+ years) in asset management, property management, or real estate operations.
- Strong background in operations management with excellent organizational and problem-solving skills.
- Financial understanding with the ability to read P&L statements, prepare performance reports, and model returns.
- Excellent communication and relationship-building skills.

Jouw takenpakket als Project Management Coach:
- Je komt terecht in het departement Colruyt Group IT als medewerker van het Project Management expertise team (VAK Team) en je coachtprojectmanagers in de verschillende methodologieën die er binnen de groep gebruikt worden (PCLC, Agile Starter Kit, DevOps…)

Voor de job van Head of Project Management ben je een ervaren manager om het team van projectmanagers te leiden en te ondersteunen. Jij bent verantwoordelijk voor het coachen van een gemotiveerd team, het waarborgen van de voortgang van projecten en het behalen van klanttevredenheid door middel van succesvolle projectlevering. Je werkt nauw samen met verschillende afdelingen en rapporteert rechtstreeks aan de Global Director Operations.
- Begeleiden van je team in het organiseren, plannen en uitvoeren van lopende projecten, waarbij je ervoor zorgt dat deze binnen budget, tijd en scope blijven.
- Een prestatiegerichte en leerzame werkomgeving creëren, die de juiste energie en motivatie binnen het team stimuleert.
- De voortgang van projecten monitoren, rapporteren en optreden als probleemoplosser in complexe situaties.
- Verantwoordelijk voor de voortdurende verbetering van processen en de evaluatie van de prestaties van het team.
- Samenwerken met verschillende afdelingen om de efficiëntie en effectiviteit van projecten te waarborgen.
- Minimaal 10 jaar ervaring in projectmanagement, bij voorkeur binnen de chemische en/of voedingsmiddelenindustrie of andere procestechnische sectoren zoals waterzuivering of afvalverwerking.
- Uitgebreide proceskennis en ervaring met complexe, grootschalige projecten.
- Ervaring in het aansteken en coachen van teams, met sterke communicatie- en people managementvaardigheden.
- Besluitvaardigheid en het vermogen om strategische keuzes te maken in uitdagende situaties of onderhandelingen.
- Een proactieve en klantgerichte mindset met oog voor kwaliteit en toekomstgerichte verbeteringen.
- Het vermogen om sterke relaties op te bouwen met stakeholders en te zorgen voor lange termijn samenwerking.
- Een hands-on mentaliteit, waarbij je niet alleen strategisch denkt, maar ook praktisch in staat bent om de nodige middelen, budgetten en vaardigheden te identificeren en aan te passen waar nodig.
- Contract van onbepaalde duur.

Dit bedrijf is actief in het ontwerpen, bouwen en installeren van procesinstallaties en material handling oplossingen in de chemische en voedingssector wereldwijd. Hun projecten kunnen een doorlooptijd hebben van 1 tot 2 jaar en kunnen tot 20 miljoen euro bedragen. Verder maakt dit bedrijf deel uit van een grote internationale groep. Toch heerst er binnen het bedrijf een gemoedelijke sfeer waar je je collega's kent en er ruimte is voor je persoonlijke ontwikkeling. Het hoofdkantoor is gelegen in Kapellen, in het Noorden van Antwerpen. Daarnaast hebben zij nog filialen in Thailand & Amerika.
